Procedures and General Guidelines

To Participate:

  1. Each school or organization should complete a School/Organization Registration Form by the designated deadline indicating which events the school or organization plans to participate in and should submit the form to the Academic Rodeo at the East Texas State Fair Office by the deadline posted in the Academic Rodeo Timeline. Only one School/Organization Registration Form is needed for each school or group. Band, orchestra, choral, theater, FFA, and FCCLA groups should be included on the school’s registration form with sponsors listed as the contact for the specific contest. This registration is important in scheduling contests, planning for display of entries, and preparing contest/judging materials. Exceptions to the deadline must be arranged with the Academic Rodeo Coordinator.
  2. Each school or organization should designate a primary contact on the registration form to serve as a contact for general information and follow-up related to Academic Rodeo. Additional contacts and sponsors may be selected for each contest in which the school is participating to receive information specific to that contest.
  3. Each school or organization should register all students for the various events by submitting the Student Registration Form to the Academic Rodeo at the East Texas State Fair Office by the deadline posted in the Academic Rodeo Timeline.
  4. Some contests require additional forms or documentation for students participating in those contests. See the specific information for each contest.
  5. Follow rules and guidelines for each contest to submit entries by the posted deadline.

 

General Guidelines for All Events

  1. Location of each event will be indicated on the Academic Rodeo Schedule or included with the specific contest information.
  2. Critical dates outlined in the Academic Rodeo Timeline must be met.
  3. Resource information for contest preparation activities with students may be available. (See Resources.) Resources may include word lists for Spelling Bee, resources for General Agriculture Identification Contest, sample questions for the Mathletic Team Contest, sample problems for Mindset Breaking Experience, sample score sheets, and other resources when available.
  4. When possible, entries for each contest will be displayed during the Academic Rodeo and stored for display again during the East Texas State Fair.
  5. Results will be posted by the date designated in the Timeline. When time permits, schools or groups will be notified when the winners list has been posted.
  6. All participating students will receive recognition of their participation in Academic Rodeo. Winners will receive awards designated for the specific contests. Awards will be presented at the Academic Rodeo Awards Program.
  7. A representative of the school should attend the Academic Rodeo Awards Program to collect awards for those students not present or should make arrangements to collect these from the East Texas State Fair office in a timely manner after the Awards Program.
  8. Unclaimed projects and awards will be disposed of or recycled if not claimed by the deadline for pick-up scheduled after the conclusion of the East Texas State Fair.
